You bill clinical services every week. Vaccines, MTM, point-of-care testing, chronic care visits. The claims go out. Then what?
For most pharmacies, the answer is a spreadsheet somebody updates when they have time, or a month-end report that tells you what happened after it's too late to change it. Which payers are actually paying? Which procedures are worth your team's hours? How many claims have been sitting untouched for 60 days? If you can't see it, you can't act on it.
That's what Dashboards fix. Analytics and insights are now built into DocStation, so the answers live where your work already happens.
Start with the system dashboards
Open the Dashboards area from your left sidebar and you'll find six system dashboards, built and maintained by DocStation:
- Billing Stats. How many payers, procedures, and providers are getting paid, what's being paid by procedure, which payers are paying the most, and a Claims AR Aging Report.
- General KPIs. The headline numbers for your clinical services program.
- Stale Claims. Claims that have stalled and need attention before they age out.
- Invoice Analytics. Where your invoiced revenue is coming from.
- Tasks. What's waiting on your team, by status.
Each one is built from your own data and updates as you work. There's no report to run and nothing to export.
Build the view your pharmacy wants
System dashboards answer the questions most pharmacies share. Custom dashboards answer yours.
Select the + button, choose Create Dashboard, name it, and start adding charts. The chart builder works like this:
- Pick a report style. Table for detail, bar or line chart for comparisons and trends, KPI for a single headline number.
- Pick a data source. Billable Claims, Claim Service Lines, Invoice Line Items, Patients, or Tasks.
- Shape the data. Choose the fields to measure, how to aggregate them, and whether to group or segment by another field like payer or status. Limit to the top 5, 10, or however many you need.
- Filter. Add rules or groups of rules to narrow the data to a date range, a payer, a location, or anything else you track.
- Check the preview and save. The chart updates live as you make selections, so you see the result before it lands on your dashboard.
Drag charts to rearrange them. Resize them from the corner. Put the numbers that matter most at the top.
A few charts our team likes to start with:
- A bar chart of billable claims segmented by status, to see where claims are sitting right now.
- A bar chart of insurance paid by payer, limited to the top 5, to see who's actually funding your program.
- A KPI card of total patients, to watch your panel grow.
- A bar chart of tasks by status, to see what's waiting on your team before it becomes a backlog.
Make it yours
Every dashboard you build lands under Organization Dashboards, alongside the system dashboards. Search the list by name, and favorite the ones you use most to pin them to your tab bar. Favorites are personal, so your billing lead and your clinical pharmacist can each set up the tabs that fit their day.
Why this matters
Unpaid work is invisible work. Reimbursements on prescriptions drop every year, and the clinical services that replace that revenue only count if you can see them, bill them, and get paid for them.
Dashboards close the loop. You already capture the encounter and submit the claim in DocStation. Now you can see what came back, what didn't, and what to do next, without leaving the platform.
Who has access
